We are unable to accommodate additional adult guests due to the nature of the event and venue capacity.

Infants and minors (16 and under) are allowed on a case-by-case basis. 

  1. Employee has to pay for their travel
  2. They can't attend any events or excursions/activities
  3. Employee has to secure/pay for any nanny/babysitters etc.
  4. Rooms to accommodate families are limited and given on a first come/first serve basis

 

The Rangers Club - Kids Club

The Rangers Club, located in the Sands Beach Club, is filled with educational books and entertaining toys to keep your kids occupied. Relax and enjoy your stay while they have fun.

Your accommodations will be reserved and paid by RingCentral for the nights of the event only (arrival Monday, May 1st, through departure Friday, May 5th.) If you would like to extend your stay, you will be responsible for payment AND reservation of the additional nights at the public rate plus applicable taxes. Pre/post nights may extend a maximum of three days pre and three days post of the official peak nights of May 1, 2023 and including the evening of May 5, 2023.

Public rates (ranging from $825-$3285) will apply for extensions. 

If you are looking to extend your stay, please do not book your flights until we confirm with the hotel the availability of your request.

The Strategic Events team will share the room list with the hotel for the core-event dates of May 1 - 5 (with the exception of executive hosts and international travelers that have to come in on the 30th due to flight availability).

To extend your stay, you will need to contact Rebecca Bonham with your request so that she can confirm availability of the room you selected at registration for your additional nights with the hotel. Once she sends you the approval of availability.

You will be responsible for arranging the additional payment directly with the hotel. Availability is not guaranteed.

We will be utilizing Direct Travel's Group Air Desk who will assist you in making travel arrangements for RingExcellence. You will NOT be utilizing Concur to book your travel for this event.

You will receive an email for our DT Travel Advisor 24-48 business hours after you've registered with your tentative confirmation of your flight reservation. No action is needed after your registration is confirmed until your DT Travel Advisor reaches out via email with your tentative confirmation. 

  • Once you register, Direct Travel's Group Air Desk will then book the reservation and send you a tentative confirmation.
  • The subject line will indicate to review and respond with your approval.
    • They will hold off ticketing until they receive that approval. Fares and space are not guaranteed until issued. It is recommended that you respond same day to avoid this risk and remind you to look in their junk mail or have our email address removed as spam. Our emails will come from GRoupsAir@dt.com
  • Then once they receive your email approval back, they will then send out final confirmation.
  • Direct Travel's Group Air Desk will be able to advise on any required paperwork (i.e. Visa questions).

We are now advising that folks from EMEA, AU and China should book with their local travel desk. We have learned that folks are able to find better flight options through the local provider vs. our event travel company. Most of the times when travelers (outside of the US) check their local travel websites the airfares offered in their country may be lower or not even available for sale out of US. 

 

Anyone who has already booked their flights from these regions are OK to keep those as is but, anyone who hasn't...please book via the new process and share your flight confirmation (with pricing) to @Rebecca Bonham once received.

  • Vaccination is not required for entry

  • Proof of negative pre-departure COVID-19 test results is not required

  • A negative COVID-19 test is not required upon entry to the country. However, travelers arriving via air and land borders as well as aircrew members may be subject to health screenings including temperature checks. Those exhibiting symptoms may be subject to additional health screening and/or quarantine.

  • Masks are recommended in crowded closed spaces with poor ventilation in the country. Although there is no federal mask mandate, states may impose mask requirements.

  • Please check your home country’s COVID-19 regulations upon return from RingExcellence.

During registration, you will have the option to pick your first and second activity. All activities are first come first serve.  Minors are not allowed to participate in any hosted activities or events. For offsite activities, guests are assigned the same activity you select for yourself due to capacity and scheduling.

Should you choose an onsite activity (golf/spa) your guest is able to choose a different onsite activity (golf/spa). Please email rebecca.bonham@ringcentral.com and copy Sara Straw to coordinate and indicate which spa activity (60-minute facial or massage). 

 

The RingExcellence dedicated daily hospitality desk can assist with your travel needs. The hotel’s concierge may also be of assistance. Additional activities are at the expense of the attendee.

Yes, if there is availability, please ask us and we will do our best to accommodate you.

RingCentral will provide roundtrip transportation from the Cancun airport on Monday, May 1 and Friday, May 5. If you plan to arrive or depart on alternate days, please note that transportation will be at your own expense.

All transportation to RingCentral hosted events will be provided.  Car rental expenses will be at your own expense. 

We are please to provide you with up to a $400 allowance per person (up to $800 maximum) to help cover incidental purchases made outside of organized event hours. Allowance only applies to the RingExcellence award recipient and their (1) allowed adult guest. It does not apply to any minors.

In Room Credit

Each winner/couple has been provided a $400 USD credit ($200 per person/$50 per day) on their room account which may be used to pay for any purchases made at the Banyan Tree Mayakoba. All charges will be settled upon check-out. Any charges above the $400 USD credit will be payable by the attendee. Any unused credit will be returned to RingCentral (balance cannot be "cashed out").

Expense Report

Each winner may submit an expense report via Concur for receipts incurred during the main program dates of May 1 - 5, 2023 up to a maximum value of $400 USD per couple. When submitting your expense report please be sure to note "RingExcellence 2023 onsite allocation" as your business reason. Typical expenses may include:

  • shopping at off property shops
  • food and beverage
  • other additional program expenses
